Inventory Discrepancy Reconciliation Tool
A desktop application built to compare goods dispatched from the warehouse with goods received at branches, detect quantity and barcode discrepancies, and export results to Excel for faster follow-up and reconciliation.
Problem
Goods arriving from the warehouse could contain discrepancies that were difficult to identify quickly, including unrecorded items, recorded quantities exceeding the actual receipt, incorrect barcodes applied to products, and scanning errors caused by fast data entry. With many branches and varying staff experience, manual reconciliation through Excel formulas was slow, inflexible, and error-prone.
Goals
Create an easy-to-use receiving tool that alerts users to scanning errors, identifies item and quantity discrepancies with one action, supports in-app search and analysis, and exports a clear Excel report for discrepancy follow-up.
Solution
A C# desktop application was developed to ingest dispatch and receipt data and reconcile them automatically instead of relying on manual Excel formulas. It highlights discrepancies, helps identify barcode and scanning errors, supports item search, and exports a structured Excel report for review and action.
Process
- 01
Research & analysis
Understand the problem, workflow, and actual user needs.
- 02
Planning
Map the solution logic and select suitable tools and technologies.
- 03
Development
Build the features, process data, and connect system elements.
- 04
Testing
Validate functionality and results, then address feedback.
- 05
Launch
Prepare and deliver the solution for operational use.
Challenges
The first challenge was limited development time alongside long branch working hours, requiring intensive independent effort. Technical support was also limited despite successful validation by the warehouse and logistics team, so the workflow and outputs had to remain as simple and clear as possible for users with different skill levels.
Results
The tool improved visibility into product discrepancies found during inventory checks and reduced reconciliation time by approximately 50% compared with the manual process. It also helped reduce negative inventory balances and unjustified adjustments by identifying discrepancies earlier and producing a structured Excel file for follow-up.
