Problem

After taking responsibility for project management, there was no central mechanism showing when each project started or ended or enabling the team to track progress and ownership accurately. Work was fragmented across paper, email, and general-purpose tools such as Trello, making it difficult to maintain one reliable view of projects, tasks, files, and client communication.

Goals

Create a system accessible to all stakeholders that manages work from start to finish while centralizing clients, projects, tasks, timelines, files, and communication in one extensible platform.

Solution

A cloud-based system was built to manage clients, leads, projects, phases, and tasks using established project-management practices. Clients can track project progress, communicate with the team, comment on tasks, and submit tickets, while project managers, account teams, customer service, sales, and delivery teams share one workspace for operations, files, and knowledge documentation.

Process

  1. 01

    Research & analysis

Understand the problem, workflow, and actual user needs.

  2. 02

    Planning

Map the solution logic and select suitable tools and technologies.

  3. 03

    Development

Build the features, process data, and connect system elements.

  4. 04

    Testing

Validate functionality and results, then address feedback.

  5. 05

    Launch

Prepare and deliver the solution for operational use.

Challenges

The system was developed alongside active project delivery, creating substantial time pressure. Translating project and task requirements into practical features required continuous analysis, and new capabilities had to be released whenever operations revealed another problem or use case. Executive support helped sustain development and adoption.

Results

The system moved work management from fragmented tools and channels into a centralized environment, improving visibility into project progress, schedules, and ownership as well as access to files, communication history, and decisions. It also enabled stronger client participation, better team coordination, and more accurate and efficient delivery. These are reported as observed operational outcomes because no verified quantitative measurements were provided for publication.
